Urgent Sage Issue - Submittal Review Process

I initially brought this issue to attention in November and has been discussed on multiple occasions since. I must emphasize its ongoing impact and the urgent need for resolution.

The current structure of the website creates significant inefficiencies in the submittal process. As it stands:

  1. Submittals are grouped into "submittal packages," which correspond to specific specification sections.

  2. Within these packages, individual "submittal items" are created to represent the various submittals under that section.

  3. Submittal items are then linked to their corresponding PDFs, which are uploaded, reviewed, and returned by the designated “respondent” (e.g., architects).

The issue arises when submittals for a package are not received simultaneously, which is a common scenario, as some submittal items are delayed until the end of a project (closeouts). If any submittal item within a package is missing or rejected, there is no option to reupload the added or corrected version and resubmit it for review within the same package.

The current workaround—creating a new submittal package with duplicate submittal items—introduces several critical problems:

  • Increased complexity: Multiple packages with duplicate items make reports difficult to interpret and manage.

  • Inefficiency: The process is unnecessarily tedious and time-consuming.

  • Data integrity issues: Reports become excessively lengthy and convoluted, making it challenging to track approvals or assess progress accurately.

This issue has already caused confusion and inefficiencies on two projects. It is imperative that this functionality is addressed immediately to prevent further disruptions.

    The Respondent Workflow can continue to be used without creating a follow-up. The respondents will see this in their Teamlink portal and you can gently nudge reminders to respondents going to Tasks > Send reply to Respondents.

    Have you tried the optional Respondent Workflow Process at the bottom of each Submittal, RFI, and Journal? It allows you to determine the path or routing of approvers, and gives you an option to add CC Recipients if the Project Owner or others want to monitor the approval process but do not need to approve.     Submittal Responses and Approvals are added at the Submittal Item Level not the Submittal Header Level. When you have some items approved and others not, instead of using [Follow-up Submittal] feature, the the [Resubmit for approval, and only add the items not previously approved. SCM will maintain follow up Submittal Items in the Submittal view as children under the original Submittal (or Parent). Note the attached screen shots.

Copy submittal items to resubmission

Merged
When initiating re-submittals the submittal items should copy over to the re-submission so you don't have to type out all the submittal items again. This is highly inconvenient and inefficient.
