Add Project Specific Locations for job cost reporting purposes

Currently, project specific locations can be used on an estimate only. However, it would be nice to copy these locations to the project side via the contract admin setup wizard. This would facilitate a new set of job cost reports by location.

    Below is how I would handle residential development projects in Sage CM.

    Project (eg. Subdivision)

    • Job Cost Codes (includes land development and home construction cost codes)

    • Prime Contract # 001: Land Development Phase (eg. Grading, Surveying, Land Clearing, Sewers)

      • Land development phase cost codes with budgets

    • Prime Contract # 002: Lot A

      • Home construction cost codes with Lot A budgets

    • Prime Contract # 003: Lot B

      • Home construction cost codes with Lot B budgets

    • Prime Contract # 004: Lot C

      • Home construction cost codes with Lot C budgets

    • Prime Contract # XXX: Lot XXX

      • Home construction cost codes with Lot XXX budgets


    Note: Primes would be sub-projects in Sage Intacct. You would also not need to use the location dimension with this structure.

    When my clients use the Locations on Estimates, they typically then create the Prime Contract SOV using the location specific items, this current process works for them -- could possibly be improved if instead of just adding the location to the name, the location was its own column for the items so that they can print grouped or summed by location. The main pain point my clients are seeing is when they create subcontracts, the items on the subcontract are also the location specific items. When they go to add items from Estimate the only option is just the regular item, rather than being able to select items for the specific locations.

    In Intacct we have a master list of cost costs that we would like to be able to use against multiple locations. For example Cost Code 01-100 would be used on Lot A (a location) and again on Lot B within a single project. Having a dedicated Location dimension/column that could be tagged on the contract admin setup (budget & contract) to facilitate this multi-location based workflow.

    Example: client is a foundation subcontractor who does a 100 lots under a single project. They have 25 cost codes. Creating a unique JCC in incorporates the lot number would result in 250 lines on the budget to allow each task to be performed on each lot. They invoice the client by lot not by cost code.
